What goes into a patient file
Each file holds the basics you need at the front desk and in the chair: name, phone number, age, gender and address, plus free-text notes for anything the doctor wants to remember.
The same file is where appointments, bills, dues and prescriptions for that patient are linked, so nobody has to hunt through separate books to answer a simple question.
Medical alerts the doctor sees first
Record allergies and conditions such as diabetes or blood thinners as medical alerts on the patient. They sit on the file so that the doctor sees them before starting a procedure, not after.
Medical alerts are only as good as what you record. Ask about allergies, medicines and conditions at the first visit and update the file whenever something changes.
Visit history in a timeline
Every visit is added to the patient’s history, so you can see what was done, when, and what is still pending. A patient who returns after a year does not need to start from zero, and a second doctor can pick up where the first left off.
X-rays and clinical photos
Upload X-rays and clinical photos straight into the patient file from your phone, tablet or computer. Before and after photos stay next to the treatment they belong to instead of living in a WhatsApp chat or a gallery folder.
Find any patient in seconds
Search by name or by any part of the phone number. If a patient calls and says “my number ends in 4521”, type those digits and the file is there. This also helps at booking time, because the receptionist picks the existing patient instead of creating a duplicate.
Bring your existing list from Excel or CSV
Most clinics already have patient names and numbers somewhere: an Excel sheet, a CSV export from older software, or a register someone typed up. OPD Sathi can bulk import a patient list from a CSV file (Excel and Google Sheets can both save one), so you start with your real patients rather than an empty screen.
- Download the sample CSV from Settings, or save your Excel sheet as CSV with one row per patient and a header row.
- Upload the file under Settings. OPD Sathi shows a preview of the first rows before anything is saved.
- Import, then check the list of any rows that couldn’t be added and fix them.
Not sure how to move off paper? Our guide to digitising dental records walks through it step by step.
What OPD Sathi does not do
To be clear: there is no tooth chart or odontogram in OPD Sathi. Patient files store details, alerts, notes, history, X-rays and photos. If a graphical tooth chart is essential for you, this is not the right tool yet.
